Event Terms & Conditions
Indie Rodeo is operated by the Calgary Game Developers Association(“CGDA”).
By participating in Indie Rodeo or purchasing admission to a CGDA event, you agree to accept and abide by the following policies below:
Admission Policy
If you are provided a proof of admission (wristbands, badges, event pass, etc.) as part of your admission, it must be worn and be visible at all times. Individuals not displaying valid proof of admission will not be granted access to the event.
The CGDA reserves the right to require both proof of admission and additional entry fees for certain programming elements that may be occurring as part of the event.
All CGDA events are open to business professionals only. Any person found to be registering to attend CGDA events using false information or credentials or deliberately withholding information will have their application automatically denied and may be liable to prosecution. Without prejudice, the CGDA reserves the right to exclude any person(s). Closed Circuit Television Cameras (CCTV) are likely to be in operation at all times during our events. The CGDA and/or the venue reserve the right to deliver the CCTV videotapes to the Police or another competent authority as evidence if requested to do so. The contents of such videotape may be used as evidence in a court of law. The CGDA reserves the rights to film/permit approved third party filming across the show open days of events. By attending the show, visitors permit the CGDA/approved third parties to use any footage taken. Additional age restrictions may apply to all or parts of the event in accordance with local laws. ID may be required for admission. Canvassing is not permitted.
Attendees with an airborne contagious disease are requested to not attend CGDA events until they are no longer contagious.
The CGDA retains the right to remove anyone from the event, should they be seen photographing or filming in prohibited areas. The CGDA reserves the right to exclude or remove anyone from the event or venue who does not comply with CGDA policies or anyone whom the CGDA considers are likely to conduct themselves contrary to CGDA policies.
Cancellation, Substitution, and Refund Policy
Cancellations
Purchases of admissions or tickets for CGDA events are non-refundable.
If circumstances beyond the CGDA's control prevent the event from occurring (extreme weather, public-health orders, venue unavailability, etc.), the CGDA will seek to reasonably reschedule and provide notification to affected attendees where possible. Refunds in such scenarios shall be handled on a case-by-case basis.
No Shows
If, for whatsoever reason, you or your delegates do not attend the event, this shall be considered a cancellation. You will be charged the full amount and a refund will not be provided.
Substitutions
If you are unable to attend the event we welcome substitute delegates attending in your place at no additional cost. For security reasons, all requests for substitutions must be received via email at least 48 hours before the event with the name, and contact email for both the registered and replacement delegates to hello@indierodeo.com. Changes will become effective on the date of CGDA's written confirmation.
Code of Conduct
CGDA is dedicated to providing a safe, harassment-free environment for all event participants. All participants — delegates, attendees, speakers, exhibitors, staff and volunteers — are required to follow this Code of Conduct at all times. This includes social events at off-site locations and communications and social media before, during and after the conference itself.
All individuals attending CGDA events must agree to conduct themselves in a respectful and professional manner. This includes respect for the intellectual property of others, proper display and use of name badges and respect for everyone regardless of their gender, race, disability, sexual orientation, religion or belief, age or being or becoming transgender.
These behaviours, in any form, will not be tolerated at CGDA events:
- Harassment: unwelcome or hostile behaviour, including verbal or written comments that intimidate or create discomfort.
- Intimidation, deliberate stalking or following.
- Abuse of any kind.
- Discrimination.
- Inappropriate physical contact and unwelcome sexual attention.
- Disruptive behaviour.
- Any conduct or actions that may result in the risk or harm to others or property.
- Use of sexualized language, images, or clothing. This includes presentations, slides, and speaker content.
- Offensive banter, insults, taunts or exclusionary jokes.
- Recording: video or audio recording of lectures, speakers, delegates, staff, exhibitions, venue, slides, posters, breaks or any other conference spaces, materials or individuals is not permitted without prior consent of the CGDA. Photographs of participants are permitted with the permission of those being prominently photographed. Photographs of slides, posters and other academic content are permitted only with the permission of the author.
- Disruption of any lectures, sessions or seminars.
- Emails or any form of written communication that is aggressive, rude, upsetting or which could amount to sexual or racial harassment, or harassment on the grounds of someone's disability, sexual orientation, religion or belief, age or being or becoming transgender. Email harassment can arise simply from unreasonable repeated or unwanted requests, or messages containing sexual or racial innuendos.
- Participants may not publicise, distribute, canvass, display, carry out activities or demonstrations, or distribute materials or inducements. Any materials found, unless by previous agreement, will be removed and disposed of.
This is a non-exhaustive list, and the CGDA reserves the right to exclude or remove anyone from the event for any behaviour not consistent with this code of conduct, as determined at the CGDA sole discretion. If an individual believes that these rules have been violated, they should contact CGDA staff at the registration desk.
Attire
The attire of all present at the event must be appropriate and comply with local decency laws. All attire must be able to pass comfortably and easily through a standard door at the event. The attire can not be considered a safety issue to anyone or the property at the event. The CGDA reserves the right to declare any attire unacceptable and require anyone present that the event to change or modify their attire. Individuals who do not conform to the CGDA's requirements to attire may have their admission to CGDA events revoked without refund.
Filming and Photography Policy
All film or photography taken at events is the intellectual property of the CGDA and cannot be used or broadcast without prior permission.
By purchasing and/or accepting admission to a CGDA event, attendees consent to being photographed and/or video recorded by the CGDA staff and/or volunteers, and having those images used for CGDA's promotional and commercial purposes.
We know you will be excited to share what you have learned at a CGDA event and whilst we do want you to be able to share your experience, we are also committed to protecting the privacy of individuals and the intellectual property of the event CGDA and participants, therefore we set out below some rules and guidelines around filming and photography at our events:
- You must not make any video or audio recording nor take screenshots or photos of any conference sessions, speakers, delegates, staff, digital exhibitions, slides, posters, breaks or any other conference spaces or materials without our prior consent;
- Photos and interviews with attendees to our events are permitted provided you have obtained that individual's express consent and the individual is not repeating an entire conference session;
- We ask that any photos, interviews and or posts on social media or other channels respect the reputation of the CGDA. If you did not enjoy something at one of our events, please come and share your feedback with us first!
In addition to the foregoing, please review any venue-specific terms and conditions applicable to the venue at which the Event is held. Such terms or regulations are typically available on the venue's website, and you are required to comply with them in full.
Merchandise Purchase Policy
Merchandise is sold in limited quantities. All sales are final and non-refundable. The CGDA does not ship merchandise. Any purchase of merchandise is exclusively for pickup at the event, at the merchandise booth for the duration of the event.
Attendees who have purchased merchandise must bring their valid pickup code from their order confirmation email. The CGDA reserves the right to determine the time when the sale of any merchandise closes. The CGDA reserves the right to deem any unclaimed merchandise after the event as a cancelled purchase whereby the purchaser must provide proof of purchase and identification prior to the issuance of any refunds.
Any individuals the CGDA deems to be seen shoplifting, committing theft, or commit payment fraud, will have their admission, if any, revoked and be barred from all future CGDA events.
On-site Advertising Policy
Only the vendors, exhibitors, sponsors and partners approved by the CGDA and venue of the event are permitted to use signage, booths or promotional material to advertise at the event location.
Venue Specific Restrictions
Attendees may be subject to restrictions and policies that are imposed by the venue of the CGDA event. Attendees must comply with any and all restrictions and policies as imposed by the venue of the CGDA event as applicable.
Game Jam Content Policy
Participants in CGDA game jams may choose how to license their submissions however their team chooses, as long as:
- participants do not purport to grant more rights than you have (e.g. in third-party elements, middleware, etc.), and
- participants give us the perpetual right to showcase your submission on CGDA's platform, website or social media.
Participants may be required to upload an executable to the CGDA game jam platform or website, or if it's a browser based game, a link to play that game as part of your submission.
The CGDA does not require participants to provide any source code for submission.
The participant creator(s) of any game at a CGDA game jam retains full copyright and IP ownership of their game and any originally created elements.
The CGDA reserves the right to remove any submissions if the content is offensive or unsuitable. This includes but is not limited to: submissions with harmful or prejudicial themes related to gender, sexual orientation, age, ability, appearance, ethnicity, national origin, citizenship, socioeconomic status, or religion. If you see a game being created, or find a game on our platforms which would violate these terms, please email info@calgary.games.
Participants in CGDA's Game Jam are solely responsible for the content they upload and submit. Participants affirm, represent, and warrant that they own or have the rights, licenses, permissions and consents necessary to publish, duplicate, and distribute the submitted content. By submitting content to the Game Jam for distribution, Participants also grant a license to the Company for all patent, trademark, trade secret, copyright or other proprietary rights in and to the Content for publication on the Service, pursuant to this Agreement.
Artificial Intelligence
CGDA acknowledges that there are many valid questions and concerns around AI that the game dev industry (and entire world) are grappling with – and for most of those questions, there are no universal, definitive answers.
As such, the CGDA will not have restrictions around AI usage within the jam, including generative AI, as long as games and game content align with our already existing policies, and do not infringe on copyright and other intellectual property rights. Please note that in many jurisdictions, a purely AI created asset is not protected by copyright, whereas an asset created by a human using elements generated by an AI tool may enjoy some intellectual property protection. The law in this area is still developing and can differ significantly from one country to another.
While the CGDA encourages the exercise and creative spirit of the jam to create things yourself, individuals are welcome to utilize tools/technologies and premade assets as they wish, so long as such uses are aligned with CGDA policies and do not infringe upon any intellectual property rights. If you are using any AI tools, generative AI, or premade assets, such must be disclosed in your submissions to the Jam, as well as provide credit to the original creators as applicable.
As AI continues to evolve, so too will CGDA guidelines and policies to reflect our community and industry. We encourage jammers who want to use AI in their projects to understand any potential implications that existing government policies, proposed legislation or pending legal cases could have on their projects, now and in the future. We encourage jammers to research how tools are trained.
